KSeF on Amazon, how to enter KSeF on Amazon, selling on Amazon and KSeF

Last updated: 19.01.2025

Have you ever wondered how one minor technical detail can affect your business's cash flow? Imagine the morning of 1 April 2026. Sales on Amazon are going great, orders are flooding in, but suddenly… the system stops generating invoices. Accounting is raising alarms, customers are writing complaints, and time is ticking.

This is a real risk for any seller with a Polish NIP (VAT number) who does not adapt to the new regulations regarding the National e-Invoicing System (KSeF). From 1 February 2026, the rules are changing. Amazon's VAT Calculation Service (VCS) is shifting to an e-invoicing model, and the key to success lies in your hands - specifically, in the proper authorisation.

Why 1 February 2026 is a date you cannot ignore?

For many sellers, the VAT Calculation Service (VCS) is a lifesaver - the system calculates taxes and issues documents automatically. However, from February 2026, VCS will no longer be able to "simply" issue a PDF invoice that meets the requirements of Polish law. It must be a structured e-invoice, sent directly to the government system.

What will happen if you do not take action?

  • Until 31 March 2026: The system will generate "old" PDF invoices as a transitional solution.

  • From 1 April 2026: If you do not grant authorisation, Amazon will completely stop issuing invoices for orders covered by the Polish mandate. The entire burden of manually issuing hundreds or thousands of documents will fall on your shoulders.

Is it worth risking operational paralysis? The answer seems obvious.

Step-by-step: How to authorise Amazon in the KSeF system?

This process might seem complicated, but in reality, it only takes a few clicks in the right places. Below you will find instructions that you can complete yourself or pass on to your accounting team.

Stage 1: Logging into the central database

Go to https://mcu.mf.gov.pl/. This is the Certificates and Authorisations Module (MCU).

Stage 2: Menu navigation

Once logged in, find the "Authorisations" (Uprawnienia) section in the main menu. Next, choose the option "Grant authorisation" (Nadaj uprawnienie).

Stage 3: Selecting the appropriate entity

In the "Authorisation type" (Rodzaj uprawnienia) section, select: "To an entity for issuing and viewing invoices" (Podmiotowi do wystawiania i przeglądania faktur).

Stage 4: Amazon's details

In the "Authorised entity details" (Dane podmiotu uprawnionego) section, fill in the details of the entity you want to authorise, entering the NIP (VAT number) and the name of the relevant Amazon company.

Stage 5: Precise scope

In the "Scope of authorisations" (Zakres uprawnień) section, select:

  • YES (TAK) for: "Issuing invoices" (Wystawiania faktur).

  • NO (NIE) for: "With the right to further delegate authorisation" (Z prawem do dalszego przekazywania uprawnienia).

Amazon only needs the ability to generate the document; it does not need to manage your further authorisations.

Stage 6: Finalisation

Click "Grant authorisations" (Nadaj uprawnienia). If the system displays a green success message - congratulations! Your business is secure.

What is worth knowing about the changes after 1 February?

It is worth noting that from 1 February 2026, the government interface itself will change. The Certificates and Authorisations Module (MCU) will become part of the KSeF Taxpayer Application.

For you, this means that if you don't make it in time, the process might look slightly different visually in February, but the principle remains the same: Amazon must have a digital "key" to your KSeF gateway.
